► Setting Up a New Club

Setting Up a New Sport or Society

First of all it is important to make sure you have checked the current list of sports clubs and societies to check that what your thinking about does not all ready exist or that there is something very similair. If something already exists the Executive will not approve the set up of duplicate clubs or societies. If yours does not exist that please proceed.

1. Starter Form

The first form you need to complete is called a 'Starter Form'. This requires you to state the name of the club/society that you are wanting to set up and then show the people that support (would join) the club/society once it's established.

You must have 10 people interested and they must all be current students at Coventry Univeristy. The proposer is the person trying to set up the club/society (probably yourself).

2. Model Constitution

The Model Constitution explains to the Executive all about your club/society. This document is very important and this is the document that will provide the information for the Executive to make a decision to approve or decline your application.

You need to state the aims and objectives of your club/society. The aims and objectives should display what your club/society will be trying to do and achieve.

E.g. To give all the students at Coventry the opportunity to come together to play football on a regular basis.

We aim to provide oppurtunities for both competitive and non competitive football games.

It is also important that you read the rest of the constitution as these are the 'rules and regulations' so to speak that you will run your club/society by. You need to know what you are signing up for.

3. Record Sheet

The third and final document is the Record Sheet. Each club/society has an executive committee who run them and oversee all of the activities. The committee is made up of a President, Secretary and Treasurer. (For full descriptions of these roles please go to the handbook)

You will need to state who will be taking up these roles for your club/society so we know who to contact regarding each area.

4. All the Forms are Completed

Once all of the forms are completed then you need to send them through the S&S Office. Ideally we would like you to do this electronically via email to s&soffice.su@coventry.ac.uk

The S&S Co-ordinator will then arrange a meeting with you and the VP Student Activities so you can discuss your application. The VP will then take the application to the next Executive meeting for approval.

If you application is approved the S&S Co-ordinator will then get back in touch with you and arrange a time for you to come in and they will go through all the official info about being a club/society e.g getting your account set up, memberships, website etc

Should your application be declined the VP will contact you and explain why this has been the case and work with you to resolve the situation.

The process is pretty simple, however if you still have a question that has not been answered please get in touch and we can help you.
